Every payment went into Notes, or I scrolled back through Messenger to check if someone had paid. The record existed. It was just scattered across whatever app I had open when the money came in.
Someone always asked where to send the money. Another asked for a week's extension. I was asking “due date po now” and “paid na po?” to tenants I've had for years, and nobody could pay until I replied.
I'd wake up in the afternoon, cook, go to the gym, then start work again. Somewhere in there the due date slipped. Then one day I realized a tenant hadn't paid in a month, and I hadn't noticed.
I notarize every renewal. The notary is open on weekdays, when my tenant and I are both working, and closed on weekends, when we're free. We moved the date six times before we could sign.
Before rent is due, and again only if it's late, each tenant gets an SMS and an email with their own link and access code. It doesn't depend on me remembering on a busy day.

A tenant's link only shows that tenant's own records. Tenants can ask you to correct their details, and when a tenant leaves you can erase their personal information while keeping the anonymous payment history.
